It seems like the most pressing thing here is getting into some regular practices around establishing fixity information for all the content and getting into regularly checking that fixity information. Given that your organization isn’t an archive, it’s great that they are interested and focused on this kind of information. If they can take on some of these practices you’ve suggested it is likely that it will be much more straightforward for them to ultimately transfer records to a long term preservation repository. With that noted, it is worth underscoring that in my experience it is particularly challenging to sort these kinds of electronic records management issues for an organization in that it’s really a huge moving target to work with as staff pick up and make use of different tools and services to carry out their ongoing work.
